Space administrators can also bulk remove labels across an entire space. ## Child pages search When using 'Child pages' to search only parent pages with children show up as page select options. ## Label related pages by title keyword Users can enter any text string (a common naming pattern or keyword) in the "Search by page titles" field. After clicking preview the app finds and displays all pages with that string in the title. This solves the problem of having to manually search for and update each page individually when you want to make changes across a set of related pages. **Use case** A user is responsible for organizing Confluence content and wants to ensure that all pages related to a specific initiative are discoverable together. All relevant pages include a unique keyword (e.g. Q4-Review) in their titles. Instead of manually searching for each page and adding a label one by one, the user uses the "Search by page titles" feature. By entering "Q4-Review" in the search field, the user gets a list of pages with that keyword in the title. The user can then select these pages and apply a label (such as "quarterly-review") to all of them at once. This bulk labeling makes it easier for team members to find, filter and report on related content. Streamlining collaboration helps to improve company wide knowledge management. ## Label colors in preview The color of each label in the preview tells a user what, if any, change occurs if click 'Submit'. Grey = no change Green = will be added Red = will be deleted Yellow = will be changed if merge or rename ## When a new label is created A new label is not created until it has been added to at least one page. This only happen after Submit is clicked. To limit the results to only the version of the attachment that is visible to viewers of a page use the filter 'current version'. This filter exists because in Confluence you can have attachments that are saved but not visible when view a page. ### Limit to unused When you select 'unused' you only see attachments are not shown on any page in the space. * older versions of an image (when replace an image the older version is stored) * orphaned images (have been removed from the page but that does not delete them, they are still stored in Confluence) * images saved in Confluence (example use an app that stores images in folder but they do not appear on any pages) ### Limit to current version An attachment can have multiple versions in Confluence. If you replace the same attachment with a newer version (same filename) the older version is not deleted, it is still stored. Confluence does not automatically delete an attachment when it is removed from a page. Use Attachment Manager to delete attachments. **Use case** * want to ensure only downloading the latest version for a marketing campaign ### Limit to old versions When select the filter 'old versions' the results only show older versions of attachments. Older versions of an attachment only exist if the attachment was replaced by an attachment with the same filename. It means that the attachment has multiple saves versions, these attachments many or many not show on a page. We released a major update to Redirection on June 26, 2024. This update must be installed manually and disables all previous redirects. You must perform a onetime migration to restore these redirects. ## Why migration is necessary Redirection has been rebuilt using Atlassian's [Forge development platform](https://www.atlassian.com/blog/announcements/forge-launch). This change allows us to take advantage of Forge's robust security and data residency features as well as update the app more often. The update was released on June 26, 2024. After a system administrator manually updates an instance to the latest version, all existing redirects will immediately stop working. A onetime migration must be performed to restore redirection functionality. ## How to update the app The app can only be updated by a system administrator. It allows to create headings, bold, italics, underline, monospace, bullet points or numbering. ## Archived pages You must first restore an archived page before you can edit an existing redirect or add a new redirect. It is not possible to edit a Confluence page while it is archived. **Restore page (de-archive page)** There are two ways to restore an archived item back to the content tree: * directly from an archived item * from the archived pages list in the archive When you have finished editing the redirect you can re-archive the page. [Learn more](https://support.atlassian.com/confluence-cloud/docs/restore-archived-pages-to-the-page-tree/) ## Enable/disable popup ### Redirecting within same Confluence instance A popup to confirm within the same Confluence instance is optional. If the popup is disabled, after the page fully loads the user will be taken to the Confluence page it is set to forward to. This makes it difficult to get to edit mode for the page that has a redirect placed on it. See note [Getting to edit model when deny disabled](https://docs.easyapps.app/documentation/technical-notes-redirection-for-confluence#TechnicalnotesRedirectionforConfluence-Gettingtoeditmodewhendenydisabled). ### Confirm before going to external URL A popup to confirm before going to an external URL is required. Atlassian requires the popup with a warning message and a confirmation button in order to proceed to all external URLs. A redirect to an external site cannot happen without this popup. Atlassian does this for security reasons. Many users and developers are complaining that this is too restrictive. In the future Atlassian might create a list of URLs that do not require a confirmation or do away with the requirement entirely. But no timeline has been given. ### Getting to edit mode when deny disabled There is no direct way to get to edit mode on the page with a redirect if you remove the button to deny the redirect. This is also the case when the entire popup is disabled. **Workaround** Be quick. It must be done before the redirect page macro loads. Click anywhere on the page outside of the redirect popup (if has one). Then click the *esc* button on your keyboard. No harm clicking it multiple times. If it doesn't work reload the page and try again. ## Restricted pages No user, including administrators, can see, create or edit a redirect on a page that they do not have permission to view/edit. These restrictions are set by Atlassian, not us. [Learn more](https://support.atlassian.com/confluence-cloud/docs/add-or-remove-page-restrictions/). Pages you are restricted from accessing do not show up in: * the 'Existing redirects' tab * the 'Create redirects' tab * all input/filter fields (no autocomplete, can't view/select the page) Additionally, you cannot set redirects on restricted pages using the JSON import feature. ## How an administrator can view redirects on restricted pages System administrators can use this workaround. 1. Admins can obtain a list of restricted pages by space (without accessing contents). Example if you enter "New" and the header is "All new projects" it will be skipped because it contains the term "new". By default terms are not case sensitive. In this example *Roman - lowercase* with a dot after were selected. Enabling numbered headings on a page means that later edits to page content (and re-publishing) automatically triggers updating of heading numbers. These updates are attributed to the app and you will see the app logo in the menu bar. Note that heading numbers are only updated when necessary. This is by design. We feel that users want numbers like 1.a, regardless of whether the number is assigned to H2 or H3. Specifying different formats for each heading level adds complexity and can lead to extra work or mistakes. You choose a custom format for each section of a heading number, and it is applied to all relevant heading levels. For example, if you choose to have the first subsections use Latin (and everything else is decimal), a document with the following heading structure will be numbered as shown: **1. H1** **1.a. H2** **1.a.1. H3** **1.a.1.1. It does not change the underlying URL itself. This limitation also applies to the text of emails and phone numbers. It does not change the underlying URL itself. Example: Take . If use Find and Replace by Easy Apps to change 'adidas' to 'nike' the hyperlink displays as [http://www.nike.com](http://www.adidas.com). But click on the URL and you will see that it still directs the users to . **Why is this a limitation** Confluence treats the text name of the URL and the underlying URL separately. We cannot change this behavior. ### Solution To bulk edit URLs, emails and phone numbers download our app [Space Content Manager](https://go.easyapps.app/website-space-content-manager) from the Atlassian Marketplace and use the 'Link manager' tab. [Learn more](https://docs.easyapps.app/space-content-manager/link-manager) about link management with Space Content Manager and how it allows you to bulk edit URLs, emails and phone numbers. ## Databases and Whiteboards not supported It is not technically possible for us to search and make changes to databases and whiteboards. Atlassian says that they have plans to extent the API to allow Atlassian Marketplace vendors to work with databases and whiteboards but no timeline is available. **From Rovo (Atlassian AI tool, December 2025)** > * **API Access**: Atlassian is working to improve APIs for third-party vendors, but currently, third-party macros have limited access to some Confluence features (e.g., databases, whiteboards). ## Third-party macros not supported We do not support finding text inside macros from apps downloaded from the Atlassian Marketplace. These macros are also referred to as third-party macros in order to differential them from those built by Atlassian. Therefore, text in third-party macros do not appear in the preview. The technical reason is that third-party macro data is not stored in a standardized way. Each third-party macro can store its content in a proprietary or non-standard format. As a result the app can't reliably access or interpret the text inside those macros. ## Support native Atlassian macros You can find, preview and replace text inside native Atlassian macros. But legacy macros may not be supported. They are being fazed out. ## Atlassian macro versus third-party macro It is not easy to know whether a macro is native or from a third-party. Talk to your administrator. **Native Confluence macros (from Rovo, Atlassian AI tool, December 2025)** > * **Compatibility**: Generally work seamlessly with Confluence features like search, find and replace, permissions, and live editing. > > * **Data Access**: Content inside native macros can usually be found, previewed, and edited by Confluence tools (e.g., find and replace, word count). > > * **Reliability**: Less likely to break with Confluence updates, as they are part of the core product. **Third-party macros for the Atlassian Marketplace (from Rovo, Atlassian AI tool, December 2025)** > * **Compatibility**: May not work with all Confluence features. For example, text inside third-party macros often cannot be found or replaced using Confluence's native tools, and permissions or search may not work as expected. > > * **Integration**: May not be as deeply integrated. Often run in a more isolated environment (sometimes similar to an iFrame), which can limit their access to Confluence features. > > * **API Access**: Atlassian is working to improve APIs for third-party vendors, but currently, third-party macros have limited access to some Confluence features (e.g., databases, whiteboards). ## Multiple language support Works with Japanese, Chinese, Arabic, Greek, Hindi and more (languages not using the Latin alphabet). ## Special characters and accents Works with special characters. Examples: \&, %, $, #, @. Supports accents and tones on Latin and non Latin alphabets. Examples: é, ö, ł, į, č, έ, ώ. ## Space size The app works well on large spaces (i.e. many pages). If a space contains more than 200 pages the pages are loaded on demand in the page selection. For spaces below 200 pages, all pages are loaded when the app is opened. ## Size limits For generating the find and replace preview, it might take a while until all pages have been searched. Especially when apply to option "All pages in the space" and/or replace in option "Title and body" have been selected. When only the title has to be searched, it is done in batches of 200 pages, whereas when the search is done in the page body, it is done in batches of 50 pages. ## Page change limits Only 150 pages can be changed at once. The search is stopped at 150 and the preview is displayed. This number has been chosen to make it possible to change as many pages as possible at once on the one hand. Yet avoid long waiting times for preview, risk of changing too many pages by mistake and allowing the app to run without any mistakes. If you want to change more than 150 pages you need to run the updates in batches of 150 one after the other. --- language: "en" --- # Use cases ## Use case 1: outdated documentation **Problem** A new version of an application was followed by an increase in support tickets. It was soon discovered that the increase was due to outdated documentation pages. The tagline is referenced across hundreds of pages in their marketing Confluence space. Manually updating this information is prone to error and is time-consuming. **How Find and Replace helped** *Find old tagline* Entered the old tagline in find field and the new tagline in the replace field. The preview showed that the term occurs on 53 pages. 12 pages were need to be checked as some uses of the old tagline need to stay. The marketing specialist opened the link to each of the 12 pages to determine if the tagline should stay the same or change. 7 pages were deselected in the preview. 46 pages pages were updated. *Old tagline searched without match case* The tagline is sentence case but in the past mistakes have been make. Find and replace was used to ensure that any incorrect occurrences of the old tagline did not exist. None we found. *Old tagline with spelling mistakes* A colleague suggested searching the two versions of the old tagline with mistakes she has seen in the past. As a result one error was found. To correct this the old tagline with the mistake was entered in the find field and replaced with the new tagline. ## Use case 3: regulatory compliance **Problem** Government legislation changed which impacted this insurance company. Insurance is a regulated industry were abiding by government rules is crucial. The company has a Confluence space dedicated to compliance policies used by staff to advise clients. If staff use outdated rules he company could be sued or have the regulatory body investigate. Documentation changes need to timely and accurate. **How Find and Replace for Confluence by Easy Apps helped** *Searched outdated terms* Using find and replace the compliance team searched for the outdated terms across the space. 8 separate searches in total. Each result had between 10-30 pages impacted. The compliance team was told that unless they are sure of a change they should be sent to be reviewed by the corporate lawyer. Change were made to the pages not sent to the lawyer to be reviewed. *Reviewed by lawyer* The links to the pages the team were not sure about were send to the corporate lawyer along with notes on the parts of the page to be looked at in detail. The lawyer went in and reviewed each page. She manually made the changes to each page in edit mode. *One last search* Finally, after the lawyer completed her changes the compliance team redid the same 8 searches to ensure no terms were forgotten. No new pages were found. *Audit trail* In the unlikely case that a change was missed the company has records of the page changes to prove the rigor of the process and to defend against claims that they did not take the updated legislation seriously. In total, this process lowered risk. ## Use case 4: staff change **Problem** A project manager left the company. She was the key contact for numerous projects across the team Confluence space. **How Find and Replace helped** The search was limited the search to current and future projects. Past projects were not to be updated. The ability to check to include child pages was key. *Search 1: full name* The first and last name were searched as one term. As the term is unique no pages in the preview had to be deselected before clicking replace. *Search 2: first name only* Another team member shares the same first name. The preview was used to open pages where it was not clear who it was referring to. The pages referring to the other employee were deselected before clicking replace to finalize the changes. *Search 3: last name only search* No other team member has the same last name. But there were no results as the changes made during Search 1 removed all occurrences. ## Use case 5: a word is also a product/company name A word when both an everyday word and the name of a product or company can lead to inconsistency. Here at Easy Apps we can find Confluence, a wiki, written as confluence, a flowing together of two or more streams. It does not change the underlying URL. This is a Confluence limitation and also applies to the text of emails and phone numbers. **We have a solution** Edit underlying URLs under 'Link manager' tab. All relevant pages include a unique keyword 'Q4-Review' in the title. Therefore, a number only works for callers from within the same country and if the number is written in the URL exactly as if dialing within the country. Example in North America 'tel:2025557777'. The 'tel:+' for international calling does not work natively in Confluence. **International calling, need an app** The only way to use 'tel:+' is to get an [HTML macro app](https://marketplace.atlassian.com/search?query=html+macro&product=confluence&hosting=cloud) from the Atlassian Marketplace so that you can use HTML on the page. Then again click Save to confirm. ## Use case When a feature is restricted the user does not see it at all, it is like it does not exist.
